We are seeking a Wedding and Events Lead to oversee facility rentals and wedding bookings at Camp Horizon, located in the breathtaking Kananaskis Country near Bragg Creek. Reporting to the Programs Manager, the successful candidate will play a pivotal role in planning and executing memorable weddings while managing the day-to-day responsibilities of facility bookings at our beautiful camp.
Primary Responsibilities:
Weddings and Events Management:
- Respond promptly to inquiries via email, phone, and platforms like Wedding Wire, providing accurate and timely information about Easter Seals Alberta and Camp Horizon.
- Plan, execute, and manage logistics for weddings and other events, including day-of coordination to ensure all event contract details are fulfilled.
- Organize and maintain event timelines, ensuring smooth and seamless execution.
- Conduct site tours for prospective clients, showcasing the beauty and amenities of Camp Horizon.
- Build and maintain positive relationships with clients, vendors, and attendees, ensuring exceptional customer experiences from initial contact to post-event feedback.
Facility Rental Management:
- Manage new booking requests and maintain the Camp Horizon booking calendar.
- Coordinate schedules and logistics with program delivery staff for group bookings.
- Support client communication and the registration process through Camp Brain software, including database management, email correspondence, and camper payment processing.
- Collaborate with program and facility staff to prepare for upcoming bookings, ensuring all details are in place for a successful experience.
- Review and update booking packages and processes as needed to improve efficiency and client satisfaction.
- Supervise event support staff
Administrative Support:
- Process invoices, including GL coding and submission to the accounting department.
- Distribute announcements and notifications through the Camp Brain mailing system as required.
- Assist with additional duties and special projects as assigned by the Programs Manager.
- Research and advise on current market trends and best practices.
- Research and pilot new areas of growth and expansions.
*This position includes working weekends in a solitary, rural setting. Applicants MUST be prepared to work weekends and work alone.
Qualifications:
- Previous experience in event planning, wedding coordination, or special event management.
- Strong administrative skills, including scheduling and managing program bookings.
- Excellent interpersonal, collaborative, and customer service skills.
- Exceptional written and verbal communication abilities.
- Proven ability to manage and prioritize tasks in a fast-paced environment.
- Self-motivated, proactive, and detail-oriented.
- Proficient in computer software, including MS Word, email, and internet navigation; experience with Camp Brain software is an asset.
- Experience working with individuals with disabilities or medical conditions is an asset.
- Previous not-for-profit experience is an asset.
- Ability to maintain confidentiality and demonstrate discretion.
Other Details:
- This is a Full-time position, reporting to the Camp Manager.
- Must be available to work weekends and evenings as required.
- The position involves a mix of remote work and on-site responsibilities at Camp Horizon.
