Salary Range: $54,969 - $68,713 per annum
Work mode: In this role, you’ll benefit from the flexibility of a hybrid work arrangement that prioritizes meaningful in-person connection. A minimum of two days per week on-site is expected, with additional in-person presence as operational needs evolve. This arrangement allows for a blend of in person and hybrid work that adapts to support both organizational priorities and employee flexibility and is subject to change over time.
Location: 230 Advanced Blvd. Brampton
Hours of work: 35 hours per week
The role:
As a key support to the Water & Wastewater Operations team, you will play a vital role in financial management, coordination, and administration. Your responsibilities will include processing invoices, reconciling financial transactions, maintaining records, and coordinating communication. You will also dispatch emergency work crews and support essential public services by ensuring smooth administrative and operational processes. What you’ll do:
- Input data into our database for payroll and costing purposes.
- Maintain personnel records, handling or directing inquiries regarding vacation, sick time, benefits, and WSIB matters.
- Maintain system records and files, type letters, reports, memos, take minutes etc.
- Requisition office supplies such as forms and stationary from the purchasing department.
- Answer and record incoming calls from the public or other utilities regarding water and wastewater concerns and responsibilities.
- Handle inquiries from residents regarding water/wastewater issues.
- Dispatch work crews in emergencies as directed by the area foreperson or supervisor. Notifies fire and police departments, ambulances, and various municipalities of road closures, accidents, and other pertinent water/wastewater related information.
- Manage and schedule residential and commercial service requests (e.g., CCTV inspections, water turn-on/turn-offs, curb stop inspections, sewer backup concerns, restoration complaints, locate follow-ups) and inspector requests (e.g., valving, tapping, hydrant flushing, continuity tests, pressure tests).
- Prepare customer invoices for accounts receivable.
- Perform monthly P-Card reconciliation for approximately 55 Water and Wastewater sub-forepersons, forepersons, supervisors, TAs, and managers.
- Processes inter-office mail.
- Provide month end reports for the supervisor.
- Maintain the management bulletin boards and keep them up to date.
- Co-ordinate contractor and/or client appointments in conjunction with Regional Staff via telephone and radio system.
- Perform other duties as assigned.
What we require:
- Secondary school diploma with a minimum of one-year job-related experience or equivalent.
- Strong customer service skills. Ability to work independently as well as part of a team.
- Good mathematical, clerical, and keyboarding skills.
- Strong computer skills including proficiency in Word, Excel and Power point and a familiarity with Hansen operating system is an asset.
- Flexibility to work outside core operating hours as needed to meet financial deadlines and ensure administrative support aligns with Operations field staff schedules.
- Knowledge of water and wastewater terminology and practices is a definite asset.
