What You’ll Do in This Role:
- Provide in-person support and engagement to staff and leadership, ensuring seamless business operations.
- Manage the Commander’s calendar, schedule appointments, and track assigned tasks for follow-up.
- Handle sensitive information with discretion, ensuring accurate data entry into HRMS for leave tracking.
- Compile, track, and distribute reports related to divisional operations and regulatory compliance.
- Participate in working groups to improve processes and implement new systems.
- Coordinate business expense claims and track divisional budget expenses.
- Maintain confidential records and assist in retrieving key documents.
- Prepare professional correspondence, reports, and presentations.
- Provide exceptional customer service by managing incoming calls and voicemail inquiries.
- Oversee incoming and outgoing mail, ensuring efficient distribution.
- Schedule and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
- Assist with research, data preparation, and implementation of strategic projects.
- Manage lost and found items, ensuring prompt return to owners or appropriate agencies.
- Support the procurement and inventory of office supplies.
- Serve as a backup for other Administrative Assistants within the Paramedic Services division.
What You Bring to the Role:
Education & Experience:
- Post-secondary education in administrative support or a related field.
- Minimum of two (2) years of experience in an administrative support role, or an equivalent combination of education, training, and experience.
Skills & Abilities:
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and familiarity with HRMS, PeopleSoft, iMedic, OneNote, and SharePoint.
- Strong time management skills with the ability to prioritize tasks effectively.
- Exceptional communication and customer service skills.
- Keen attention to detail with excellent proofreading abilities.
- Ability to exercise sound judgment, tact, and discretion when handling confidential information.
- Self-motivated with the ability to work independently and take initiative.
- Adaptability to manage multiple tasks and shifting priorities in a dynamic environment.

Work Mode & Location Details: Fern Forest Paramedic Station, Brampton, ON or Docksteader Paramedic Station, Brampton, ON
In this role, you’ll benefit from a hybrid work arrangement that fosters meaningful in-person connections. A minimum of four days per week on-site is expected.
