Payroll SpecialistCorporate Services-Human Resources
Status: (1) Contract Full Time - Up to 6 months
Salary Range: $92,151 -$115,189 per annum
Hiring Range: $92,151 - $103, 670 per annum
Work Mode: Hybrid *see below for more details about this work mode. Location: 7120 Hurontario Street, Mississauga, ONHours of work: 35 hours per weekwith occasional extended hours during peak periods.
Reporting into the Manager, the Payroll Specialist is responsible for all financial aspects of Payroll reporting, from biweekly payroll funding, cheque reversals and off cycle payments, GL account reconciliation, GL interface into Finance, and manually journalizing payroll journal entries.
In this role you will also play an integral part of payroll year end T4 filing and reporting; providing accurate guidance to Payroll Coordinators and supporting routine payroll audits.
What you will do in this role:
- Lead end-to-end bank and payroll reconciliations, including preparing corporate bank reconciliations, resolving discrepancies, and ensuring financial accuracy in alignment with Corporate Reporting requirements.
- Manage payroll-to-GL integrations, including balancing and posting payroll summaries to the General Ledger for seamless financial reporting.
- Prepare and validate EFT remittance reconciliations for every pay cycle to ensure timely and accurate deposits.
- Run, analyze, and reconcile all payroll summaries on a pay-by-pay basis to maintain data integrity across all pay groups.
- Generate, review, and distribute payroll reports and ad hoc queries to FSUs, Supervisors, Analysts, Auditors, and other stakeholders, supporting informed decision-making.
- Coordinate the weekly Pay Calendar, including scheduling pay events and posting early-close notifications on SharePoint to keep partners aligned.
- Prepare, reconcile, and submit weekly tax remittances in compliance with federal and provincial regulations.
- Support year-end processing by collaborating with the Payroll Supervisor to audit, validate, and troubleshoot all year-end payroll activities.
- Assist with payroll audit activities, running key queries before and after pay open/close to ensure compliance and accuracy.
- Confirm and close payroll, including coordinating all payroll funding and ensuring seamless completion of each pay cycle.
- Process pay reversals and off-cycle payments as required to support urgent or exceptional payroll needs.
- Prepare and issue cheques for both on-cycle and off-cycle adjustments, as well as payments routed through Accounts Payable (e.g., Union Dues, Family Responsibility Office payments, Garnishments, CRA remittances, EHT, United Way).
- Audit, balance, and maintain payroll accounts, posting journal entries and resolving discrepancies as needed.
- Investigate and correct year-end payroll errors, including EI/CPP deficiencies, invalid SINs, and data inconsistencies, ensuring accurate T4/T4A reporting.
- Prepare and amend T4/T4A slips in alignment with legislative requirements and internal standards.
- Serve as a key liaison between Payroll Coordinators and the Payroll Supervisor, providing guidance, leadership, and operational support. Serve as back-up for the Payroll Supervisor when required.
- Contribute to the development and maintenance of payroll procedures and user guides, enhancing clarity, consistency, and operational excellence.
- Import mass payroll transaction files, such as retroactive pay adjustments, pandemic bonuses, and United Way contributions.
- Identify process improvement opportunities, streamlining workflows and increasing efficiency across the payroll function.
- Perform additional duties as assigned, demonstrating flexibility and commitment to team success.
What the role requires:
Education & Experience
- Postsecondary degree in Accounting, Finance, or a related field, with a specialization in payroll an asset.
- 5–10 years of experience in a complex, computerized payroll environment; an equivalent combination of education and experience will be considered.
- Certified Payroll Professional (PCP or CPM) designation preferred.
Skills & Knowledge
- Strong understanding of Canadian payroll compliance, including CRA regulations, tax withholding rules, and year‑end reporting requirements.
- Experience with OMERS administration, pension calculations, and year-end pension audits, including Pension Adjustments (PAs).
- Demonstrated expertise in SAP or any other payroll systems.
- Solid knowledge of the Employment Standards Act (ESA) and its application to payroll.
- Experience working in a unionized environment, with an understanding of collective agreements and their impact on pay.
- Familiarity with Sun Life benefits administration, including setup, deductions, and remittances.
- Experience with HR technology systems, particularly SAP and ServiceNow.
