LodgeLink is seeking a talented and proactive Accounts Payable Supervisor to lead our Accounts Payable (AP) team, a part of our Marketplace Settlement department. This role will support, mentor, and coach our dynamic, fast-paced hybrid team to help LodgeLink become the premier ecosystem for workforce travel. This role is hybrid - in-office with 20% flexibility to work from home.
The Accounts Payable Supervisor will oversee and enhance our accounts payable operations, focusing on collecting hotel/camp folios, reconciling bookings related to our Direct Bill Properties, and ensuring transaction accuracy. This role requires exceptional leadership and communication skills, a knack for scaling processes, and a deep understanding of travel-related financial data.
Duties And Responsibilities
Team Leadership and Development
- Build, onboard, train, support, and mentor a team of Folio Collectors and AP members.
- Foster a collaborative and productive work environment.
- Identify and provide ongoing training to ensure team members are proficient in AP processes and excel at customer service with our suppliers.
Process Management and Scaling
- Develop and implement scalable AP processes to accommodate company growth and evolving needs.
- Streamline workflows to enhance efficiency and accuracy in processing hotel folios and reconciling direct bill bookings.
- Monitor and analyse AP metrics to identify areas for improvement and drive operational excellence.
Financial Operations
- Oversee the collection and verification of hotel folios and ensure accurate reconciliation of bookings related to hotels and camps.
- Manage the end-to-end accounts payable cycle, including invoice processing, approval workflows, and coordination with corporate accounts and treasury teams on payment disbursements.
- Resolve discrepancies and address vendor inquiries promptly and professionally.
Communication and Collaboration
- Serve as the primary point of contact for internal stakeholders regarding AP-related matters.
- Communicate effectively with hotel and camp partners to address issues and ensure timely resolution.
- Collaborate with cross-functional teams to support business objectives and enhance overall financial operations.
Compliance and Reporting
- Ensure compliance with company policies, industry regulations, and best practices in financial management.
- Prepare and present regular reports on AP performance, including key metrics and potential issues.
Qualifications
- Post-Secondary Degree or Diploma in Accounting, Finance, Business Administration, or a related field.
- Proven experience in accounts payable within a people-leadership role.
- Strong understanding of financial processes and travel industry-specific accounting practices.
- Exceptional communication and interpersonal skills, with the ability to engage effectively with team members and external partners.
- Demonstrated experience in scaling processes and improving operational efficiencies.
- Proficiency in NetSuite is considered an asset.
- Intermediate to advanced MS Excel skills, with proficiency in the Microsoft Office Suite.
- Detail-oriented with strong organizational and problem-solving abilities.
