The Health Services team has exciting opportunities for Coordinators within the Immunization Records team. If you are a result-driven professional who can exercise a high degree of customer service including conflict resolution when liaising with internal and external contacts, including parents, school and childcare administrators, health care providers, nurses, internal contact centres and other administrative support staff within and outside the division, then consider this position within our team.
What you will do in this role:
- Working with the provincial Panorama immunization database, you will manage immunization records for approximately 250,000 students registered in schools and in licensed childcare centers within Peel Region to ensure age-appropriate immunization is administered. Panorama functionality includes the Student Information Exchange (STIX) and the Public Health Information Exchange (PHIX) features
- Communicate information about the immunization records review and enforcement process in compliance with the requirements as specified in the Immunization of School Pupils Act and Child Care and Early Years Act to parents, school staff, childcare facility staff, physicians and internal staff
- Collect, document, review and interpret immunization and exemption information received from parents/legal guardians, students, schools, physicians and other health care providers
- Provide customer service including conflict resolution on the telephone and in person, responding to requests for exemptions, translations, collection and disclosure of immunization records in compliance with the Personal Health Information Protection Act (PHIPA)
- Utilize written and verbal translation services to facilitate interactions between client and staff for the purpose of updating immunization records
- Complete assigned tasks and assist in conducting immunization records investigations. Notify students/parents/guardians/childcare providers with incomplete records and enforce the Immunization of School Pupil’s Act and the Day Nurseries Act for those who are not in compliance.
- Prepare forms, documents and correspondence for parents/legal guardians, students following review of immunization records and exemption documents using MS Word
- Gather and maintain program statistics using appropriate tools such as Excel, Access databases, etc.
- Follow Divisional policy and procedures as well as section and program work instructions, ensure best practices are implemented in daily work and navigate internal document management systems such as MS SharePoint
- Records management including the control of paper records and electronic information within Peel Public Health. Management of incoming mail, filing, storage and disposal of records according to established document retention guidelines.
What the role requires:
- High school diploma with post secondary education in a related field such as business administration, medical office administration and database management
- Minimum of one year experience working with medical records, medical databases
- Equivalent combination of education and/or experience may be considered
Skills/Abilities:
- Strong, accurate data entry and keyboarding skills
- Intermediate proficiency in MS office (Word, Excel, Access)
- Demonstrated expertise in customer service
- Attention to detail
- Exceptional organizational skills
- Ability to work in a self-directed manner within a collaborative team environment
- Strong communication skills needed to interact effectively with a variety of customers at all levels

Work Mode & Job Location: In this role, you'll enjoy the flexibility of a hybrid work arrangement. This means you'll have the ability to work off-site and on-site as needed, depending on operational needs at the 7120 Hurontario Street, Mississauga worksite. The frequency of on-site work may vary from week to week, depending on operational demands, which can evolve over time. Currently, the team works onsite 3-4 times per month or as needed based on program needs. It's important to note that your off-site work location must be within the province of Ontario. This ensures that we're compliant with all regulations and policies.
