About The Role
We’re Hiring for an AP Administrator to join our team in Calgary, AB. This role is 80% in office with 20% flexibility to work from home.
We are looking for a new team member to join us temporarily – someone who enjoys a fast-paced environment like LodgeLink. You will be responsible for reviewing data throughout our AP process, including Intercompany reconciling, working alongside the team to identify opportunities for improvement.
The AP Administrator is an integral part of the LodgeLink team and is responsible for timely reconciling, PO creation and Intercompany cost of goods sold (COGS). You will have a keen eye for detail, working with other internal teams on ChargeSheet review and sign off, AP Invoice reconciling and PO creation, including handling Vendor account queries, and working with the team to meet deadlines. Essential skills for this role include strong interpersonal and communication skills to build quality relationships with the team and with our internal stakeholders. Internally, the ideal candidate will have 1-3 years of experience working with LodgeLink, with an aptitude and desire to take ownership of their work to deliver results. They will enjoy working cross-functionally to investigate and resolve reconciling issues, build strong relationships across teams and have a high level of attention to detail and quality in their work.
Duties And Responsibilities
- Reconcile Vendor Bills and amounts charged to LodgeLink from suppliers vs. reservations in our system including guest days, room rates, taxes and hotel-specific fees.
- Create accurate charge sheets for customer billing based on reconciled reservations.
- Maintain and organize electronic files received from suppliers and intercompany camps.
- Liaise with hotels and properties as required to ensure appropriate documentation is received in a timely manner to resolve disputes.
- Responsible for telephone and email requests to hotel properties to collect and resolve outstanding invoices.
- Clearly communicate priorities and obstacles to the team and your supervisor.
- Escalate issues in a timely manner.
