JOB DESCRIPTION
This position provides comprehensive, confidential administrative support to the Director of Transmission & Distribution System Operations (TDSO) and the TDSO Leadership Team.
Duties:
General office administrative responsibilities including:
* Maintaining, coordinating and integrating calendar schedules; meeting minutes and action items; preparing presentations; booking and managing meetings and conference call logistics; managing confidential correspondence to ensure all items are prioritized and dealt with in a timely manner; arranging travel plans, maintaining files and providing back up materials prior to all meetings including the retrieval of materials and preparation of agendas; and prioritizing, managing, and communicating deadlines/action items.
* Coordinating the flow of information between the Director, direct reports and extended team; working closely with the TDSO and Operations Leadership Teams and the Operations Executive Vice President’s Office; following up on outstanding action items; preparing/drafting reports, letters, meeting agendas, and presentation material for distribution; event planning, and logistical support as required; and may be required to monitor and/or develop budgets and monthly variance analysis.
* Onboarding coordination for new hires including first day safety orientation, entering service now tickets for items such as VPN/Soft tokens, building and computer access.
* Knowledge of SAP is important to support the Director and direct reports with time and labour, management reporting, materials and services requests and approvals and on line expense procedures.
* Working with other administrative assistants within Operations to provide assistance and support when required.
This position is also accountable for:
* TDSO SharePoint updates, including site layout and compliance. Web Authoring skills may also be required for maintenance and updating of team web page.
* Maintaining the departmental organizational chart, ensuring the departments’ contact lists are up to date and maintain the overall email distribution list for the Director that’s also shared with the VP’s offices.
* Managing safety and mandatory training for team including QLMS reporting and tracking of compliance
Qualifications:
* Post-secondary education or equivalent.
* We may consider those with an equivalent combination of education, training and experience.
* 3 to 5 years senior level administrative experience or equivalent within a corporate environment performing a range of diverse, confidential, administrative support duties.
* Initiative and a solution-oriented approach to day to day challenges. Ability to maintain professional working relationships with the TDSO team, all levels of staff within BC Hydro, and external organizations, as well as the ability to act independently with a high degree of judgment, discretion, and diplomacy particularly in dealing with confidential or sensitive matters.
* Superior oral and written communication skills and demonstrated ability to make appropriate decisions with little or no guidance referencing prescribed guidelines.
* Strong organizational and time management skills with the ability to multi-task, prioritize and adapt easily to shifting and/or conflicting deadlines.
* Exceptional attention to detail.
* Highly proficient with current business software including: MS Office applications (Word/Excel/Outlook/PowerPoint); SharePoint; SAP (HR & Financial); web authoring tools & file management.

Flexible work model role definitions

Our four role types identify the degree of flexibility an employee could have to work from home based on the type of work they do. The flexibility for an individual job is up to the manager for each position and the operational requirements. Employees also have the right to work full-time from the office if they prefer. All of our roles require at least some in-person time.
IBEW/Field – No option to work from home
Resident – Works primarily (4+ days per week) in the office.
Hybrid – May be able to work from home up to 3 days per week.
Remote – Works from home 4+ days per week
