We are seeking a Privacy and Compliance Analyst to join our Governance & Organizational Operations team! Using your deep understanding of privacy laws, regulations, and best practices, you’ll be a crucial part of developing, maintaining, and refining the CWC PCN's Privacy Management Framework. You’ll support organizational compliance with privacy legislation by contributing to the development and implementation of privacy processes, training, and documentation, as well as supporting the preparation of Privacy Impact Assessments (PIAs), amendment letters, and related submissions to the Office of the Information and Privacy Commissioner (OIPC). In this dynamic position, you’ll collaborate to ensure compliance across all organizational privacy activities.
This is a primarily work-from-home position with some required in-person work at our Main Office, located at 5966 Centre St. S., Calgary. Therefore, the successful candidate must be located within Calgary or the surrounding area (e.g., Cochrane, Airdrie, Chestermere, etc.).
Responsibilities
Privacy program and compliance support:
- Develop, maintain, and continuously enhance the CWC PCN’s Privacy Management Framework, ensuring alignment with regulatory requirements and organizational objectives.
- Monitor relevant privacy legislation and regulations and translate updates into organizational practices.
- Develop, implement, and support organization-wide compliance with privacy policies and procedures.
- Support the preparation, review, and research for privacy and regulatory documents (e.g., Privacy Impact Assessments, Privacy Risk Assessments, Data Sharing Agreements, Incident Reports).
- Prepare submissions to the OIPC, including Privacy Impact Assessments and mandatory breach notifications.
Records retention and information management:
- Maintain and update records retention schedules in compliance with privacy legislation and internal policy.
- Ensure proper handling of access-request documentation and the management of privacy and project documentation for operational, clinical, or regulatory purposes.
- Coordinate and verify the secure and compliant destruction of records.
- Conduct periodic audits of records to support compliance and information management goals.
Privacy incidents and request management:
- Support privacy incident investigations by collecting relevant details, reviewing and validating evidence, completing risk assessments, and providing recommendations and mitigating activities.
- Provide oversight and support the continuous improvement of processes for managing privacy complaints and investigations, ensuring compliance with privacy legislation through documentation and a structured approach to resolution.
- Support accurate tracking and documentation of information access requests, ensuring they are handled according to established processes and applicable legislation including HIA and PIPA.
Education and collaboration:
- Develop and maintain clear, user-friendly materials to support privacy training, onboarding, and awareness across the organization.
- Assist with the delivery of onboarding sessions and internal education related to privacy.
Education: A post-secondary diploma or certificate in one of the following areas is required:
- Data Privacy
- Privacy Management
- Governance, Law, and Management
- Privacy, Access, and Information Management
- Other privacy legislation, records management, or similar programs
Equivalencies of education may be considered.
Experience: A minimum of four years’ experience in privacy and information management is required. One - five years’ experience in the legal field or in regulatory compliance is an asset. Equivalencies of experience may be considered.
Certifications: At least one professional certificate or designation related to privacy and information protection is required (but can be obtained within two years of employment), such as:
- Certified Information Privacy Professional/Canada (CIPP/C) through the International Association of Privacy Professionals (IAPP)
- Certified Information Privacy Manager (CIPM) through the IAPP
Technical: Microsoft Office, including Word, Excel, Outlook, SharePoint, and Teams. Electronic Medical Record (EMR) systems.
Background check: A clear Criminal Background check is required to start.
