ABOUT THE TEAM
The Office of Applied Research Services (OARS) supports and oversees all applied research activity at RRC Polytech, guiding proposal development, grant submissions, research operations, and compliance with institutional and funding‑agency requirements. The team provides expertise in funding programs, research policies, ethics, data management, security, and partnership development, while also coordinating facilities planning, staffing support, and reporting of research metrics. OARS serves as a central hub connecting researchers, students, industry, and community partners, offering strategic advice, operational support, and resources that enable high‑quality, impactful applied research across the institution.
WHAT YOU WILL DO
Reporting to the Director, Office of Applied Research Services (OARS), the incumbent provides effective, confidential administrative support to OARS and the broader Research Partnerships & Innovation (RPI) centers. This role requires exceptional accuracy, organization, and time‑management skills to coordinate a wide range of operational activities in a fast‑paced research environment.
As a key member of the Research Operations Team, the Administrative Assistant supports day‑to‑day departmental functions including meeting and calendar coordination, document preparation, filing and records management, HR onboarding and timesheet support, and maintaining task and action trackers. The role also assists with financial and purchasing processes, such as preparing requisitions, processing invoices and expense claims, tracking expenditures, and supporting financial reporting.
The incumbent contributes to legal and compliance workflows by organizing contract documentation, processing agreements through established intake systems, and maintaining audit‑ready records. They also support internal communications, prepare correspondence and promotional materials, and coordinate logistics for research events, workshops, and departmental activities.
This position plays an integral role in ensuring smooth operations across RPI by providing proactive, professional service to internal and external stakeholders, while aligning with College policies, procedures, and strategic priorities.
WHAT YOU WILL BRING
- Post-secondary Certificate in business, management, office administration or related discipline; an equivalent combination of education and experience may be considered.
- Recent and relevant experience providing administrative support and performing office administrative responsibilities
- Experience with financial management responsibilities including budget monitoring and coordination
- Effective organizational and time management skills, with the ability to manage multiple tasks and projects effectively
- Effective problem solving and decision-making skills
- Excellent written communication skills with the ability to draft, proofread and edit communications of varying complexity
- Excellent interpersonal skills
- Excellent verbal communication skills
- Detail-oriented and the ability to manage multiple priorities both independently and collaboratively in a fast-paced environment with minimal supervision.
- Proficient with MS office suite including Outlook, Word, Excel, Visio, Teams and PowerPoint applications.

- Salary Range for this position: $48,144 - $67,802 per annum
- Generous Paid Vacation: full-time employees accumulate a minimum of 15-days vacation per year, increasing to 30 days with service, while full-time Instructors accumulate 44 days per year. Information on casual and part-time vacation accrual is outlined in the Collective Agreement or the Terms and Conditions for Excluded Employees as applicable.
- December Break: employees receive time off with pay during the period between Boxing Day and New Year's Day.
