We are looking for a highly organized, proactive, and professional Coordinator, Government Relations (Ontario) to support the Vice President- Ontario and their leadership team and help keep our team running smoothly. This role is central to enabling effective operations, facilitating communication, and ensuring alignment across functions. You’ll manage complex schedules, coordinate team activities, and serve as a trusted point of contact—allowing leaders to stay focused on strategic priorities. In this role, you will : Executive & Administrative Support Manage complex calendars, schedule meetings, prepare agendas, and take minutes for senior leaders. Draft and prepare correspondence, reports, and presentations with accuracy and professionalism. Handle confidential information with discretion and adhere to privacy requirements. Team Coordination Organize team meetings, planning sessions, and special events, including logistics and communication. Support new employee onboarding by preparing schedules, coordinating with departments, and ensuring access to tools and resources. Serve as a central point of contact for internal and external inquiries on behalf of the leaders. Operational Support Arrange travel, including transportation, accommodations, and itineraries. Develop and maintain organized electronic and physical filing systems. Monitor and support office operations (including but not limited to: facilities, fleet and reception), manage supplies, coordinate shared resources, and identify process improvements. Data & Financial Administration Compile and organize data to support reporting and planning. Track expenditures, prepare expense reports, and contribute to budget documentation as needed. What we are looking for : 4–5 years of administrative or coordination experience, with a 1–2 year post-secondary diploma in business or office administration—or an equivalent combination of education and experience. Proficiency with Microsoft Office (Word, Outlook, Excel, PowerPoint) and SharePoint. Strong problem-solving abilities and the capacity to apply organizational knowledge to resolve issues. Excellent communication skills, with empathy and diplomacy when supporting internal and external stakeholders. Proven ability to manage time effectively, prioritize tasks, and meet deadlines. Adaptable and flexible, with the ability to navigate unexpected challenges in a fast-paced environment. Demonstrated sound judgment and the ability to manage sensitive information confidentially. Working Conditions: No unusual physical requirements. Requires concentration, attentiveness, and attention to detail. Ability to adapt to changes in work priorities and respond to time sensitive needs. Work will be conducted in an office-like setting. May require travel to safe locations; limited exposure to adverse conditions.
